At Deborah Longmore Photography, I understand that sometimes plans change — especially when little ones are involved! My goal is to always treat clients with kindness and fairness, while maintaining the integrity of my time and business.
Booking Fees & Cancellations
📷 Session Fee (Non-Refundable):
All sessions require a non-refundable booking fee to secure your date. This fee covers initial admin, prep time, and guarantees your slot in my calendar.
⏰ Cancellations:
If you need to cancel your session, please provide at least 48 hours’ notice. While the session fee is non-refundable, I’m always happy to reschedule your session once at no extra charge (*for full sessions only), subject to availability. Please note that rescheduling is only offered in cases of illness or emergency as I understand this is unavoidable
🤒 Illness or Emergency:
I completely understand that illness (especially with little ones) can happen. If you or your baby are unwell, please get in touch as soon as possible — your session will be happily rescheduled. Anyone showing signs of illness who attends the studio will be asked to leave and a new session fee will be needed to rebook. *Studio Mini sessions may require a re-booking fee of £40 for another date only where available due to the limited dates and times available offered per mini type.
💳 Payment & Booking Details
All Session Booking Fees of £100 are required at the time of booking to secure your session (as are any Session Bundle fees). No date or time is held without payment of this fee. The remaining balance for your chosen Image Collection Package must be paid no later than 48 hours before your session. For newborn sessions, the final balance is due on your due date or 48 hours prior to the session, whichever comes first. Please ensure timely payment to avoid any delays or cancellations. Session Fees are also non refundable should your session be cancelled due to the booking forms not being completed and the remaining balance paid.
For Mini sessions the £40 is required at booking with the remaining balance being paid no later than 7 days prior to the session
❌ Cancellations, Refunds & Rescheduling
You have 14 days from booking to cancel in writing. However, £100 of your Session Booking Fee is non-refundable, as it covers preparation and the exclusive holding of your session date. If you cancel with less than 48 hours’ notice, are over 30 minutes late, or do not show up, £150 is retained to cover loss of that appointment slot — this applies even if the agreement hasn’t been signed, as purchasing the session forms a contract of sale. If you need to reschedule under these conditions, a new £100 Session Booking Fee will apply.
If your session must be cancelled due to anything affecting your baby during pregnancy or before the shoot, you’ll receive a full refund. Should baby arrive early, your session fee will be converted towards a newborn session.
For outdoor sessions postponed due to weather, I’ll reschedule you as soon as possible. If rescheduling isn’t suitable and you choose not to continue, £100 is retained for reserving the original date — as I can’t control the weather.
🌟 Please note: If you arrive 30 minutes or more late, your session will be cancelled and your Booking Fee will be retained. Missed or last-minute cancelled sessions are non-refundable.
The above stands for Mini Sessions however the £40 booking fee applies and the late time of 10 mins
Refunds
💳 Refunds are not issued for:
💭 Change of mind
⏳ Missed sessions without prior notice
⏰ Late arrivals that reduce your session time
📄 Failure to pay the image package balance and complete the booking forms at least 48 hours before the shoot, resulting in the session being cancelled.
However, if there is ever a situation where I’m unable to deliver your session due to illness or unforeseen circumstances on my end, I will offer you the option to reschedule or a full refund of your booking fee.
Digital & Printed Products
🖼️ Due to the custom nature of photography, all sales of digital images, prints, and products are final. Please make selections carefully and ensure you’re happy with your chosen images before finalising.
